Instructions for the New Application Procedure for "Thesis Embargo (Delayed Public Access)"

(Effective from the 2025 Academic Year)

Starting from the 2025 academic year (inclusive), students must submit a Thesis Embargo (Delayed Public Access) application before their degree examination.
During the oral defense, the oral examination committee will review and confirm whether the thesis involves confidential information, patent-related content, or materials that are legally restricted from disclosure.

 

                


I. Application Process

  1. When applying for the Degree Examination [URL link], graduate students must indicate whether they wish to apply for a Thesis Embargo.

  2. For detailed steps, please refer to the guide:

  3. The embargo period begins from the date of the degree examination.

    Once entered and printed, the embargo date cannot be modified — please double-check carefully.

  4. Required supporting documents:
  • Confidential Information: Complete the department’s Supporting Document Form (ODT / PDF) and specify detailed reasons.

  • Patent matters: Attach the first page of the patent document as proof.

  • Not permitted to be provided on statutory grounds: For theses involving industry–academia confidential content, complete the department’s Supporting Document Form (ODT / PDF) and attach a copy of the Non-Disclosure Agreement (NDA).


II. On the Day of the Oral Defense

  1. Log in to the Degree Examination System and print the Thesis Embargo Application Form., and attach the relevant supporting documents.

  2. The oral defense committee members must review, approve, and personally sign the application form.

  3. After the defense, submit the application form and supporting documents to Room 93516 (Ms. Lai) for verification and departmental stamp.


III. Uploading Thesis and Similarity Report (NCKU Library)

Log in to the NCKU Thesis & Dissertation System (URL link) and upload:

  • Thesis (PDF)

  • Thesis similarity report

  • NEW! Signed and stamped Thesis Embargo Application Form


IV. Graduation Clearance (Leaving the Department Procedure)

When completing the Leaving the Department Procedure [URL link]:
If your thesis is under embargo, please submit:

  • One hard copy of your thesis, and

  • The signed and stamped Thesis Embargo Application Form, plus

  • All related supporting documents


V. Request for Additional Embargo Extension (NCKU Library)

  1. Please refer to “Thesis Access Modification Application” [URL link] for detailed information.
  2. If you wish to apply for a second (or further) embargo extension, follow these steps:
  • Complete Form 26 from the Office of Academic Affairs, Registration Division [URL link].

  • Attach the required supporting documents (same as above for Confidential / Patent / Statutory grounds cases).

  • Submit the documents for departmental review. Once approved, the department will issue an official letter to the NCKU university and the National Central Library.

  1. Departmental Review Notes (Important Timeline Reminder!)

  • As resolved at the Department Meeting on September 22, 2025, the Graduate Student Affairs Committee is authorized to review all second-time embargo applications.

  • The meeting requires at least two weeks of preparation time — please plan ahead.

  • Applicants must prepare all application forms and supporting documents,
    submit hard copies to Room 93516 (Ms. Lai), and email electronic copies to z10209040@ncku.edu.tw.

  • Once approved, the department will issue official correspondence to NCKU and the National Central Library.
    The process generally takes 1–2 weeks, and applicants will be notified once the responses are received.
